This position includes a focus in supporting Lab Assist, within Content & Records Management, but may also include other assignments across all service areas within the Requirements & Records Management organization (e.g., supporting the writing, editing, and configuration control of other requirements-based content; providing customer service and support; supporting Records management, supporting the requirements analysis process; supporting the Prime Contract; or other special projects as assigned). This position is responsible for using a variety of administrative, analytical and technical methods and unique tools to assist management with assuring the quality and reliability of PNNL’s requirements management processes, standards, and content development and deployment that support PNNL’s mission.

About the Team

This position is part of a team that partners with content stewards, subject matter experts, management, and staff to capture and manage requirements-based content and deliver it to staff in a simple, easy, and meaningful way. We are a small, talented, and motivated team of professionals who work hard and have fun doing it. The team carries the enterprise view of managing and delivering content and maturing and transforming it into new and exciting ways.

Cool stuff you'll do:

  • Executes content strategies by collaborating with content stewards, Communications, Training, management, and other staff to create, develop, manage, and deliver the organization's requirements-based content
  • Ensures that appropriate requirements, procedures, controls, and other requirements-based content information is updated and available to Laboratory staff and delivered to plain language standards
  • Maintains and follow procedures, standards, and desk guides describing content requirements, style, tone, organization, management, etc.
  • Interacts with customers and other parts of the organization to determine best solutions and single sources of good data and information
  • Provides support to other functional areas which affect the recorded information of the organization (i.e. electronic information. digital images, etc.), and the management, retrieval, and retention of that information
  • Administers the configuration of content in various review, production, and archive environments using internal operating procedures
  • Maintains domain knowledge of publishing managed content in various Lab-wide systems
  • Supports research and other M&O Program staff to establish and put into practice effective and efficient methods for managing (i.e., identifying, scheduling, preserving, retrieving, and dispositioning) trustworthy electronic record content in compliance with legal requirements and supporting business needs
  • Manages workload of content changes and associated information throughout its entire lifecycle (e.g., archives, version history, reviews and approvals, storage, records captured)
  • Provides guidance, support, and training to administrative and project managers and staff on document control processes and requirements

The hiring level will be determined based on the education, experience and skill set of the successful candidate based on the following:

Associate: Provides solutions to a variety of problems of moderate scope and complexity associated with assigned function and consistent with organizational objectives. Works independently with oversight. Seeks out new mentoring opportunities.

Associate Senior: Provides solutions to range of difficult problems associated with assigned function and consistent with organizational objectives. Makes preliminary selections and adaptations of technical alternatives. Works independently with little oversight. Provides mentoring to co-workers in a workgroup. Seeks out new mentoring opportunities.

Minimum Qualifications

What you bring to the table:

  • Bachelor’s degree that supports the specialization practiced and a minimum of 2 years related experience or advanced degree plus 1 year of related experience.

Preferred Qualifications

Even better if you have these things too:

  • Bachelor’s degree that supports the specialization practiced and a minimum of 4 years related experience or advanced degree plus 4 years of related experience.
  • Bachelor's degree in Digital Technology, Information Management, Information Architecture, Knowledge Management, Records Management, Communications, Technical Writing, English, IT, or a related field.
  • Proven aptitude for customer service and experience understanding the customer's experience, troubleshooting and resolving their issues, and providing excellent services and solutions
  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment
  • Manages personal work and exercises judgement within defined procedures and practices to determine appropriate actions
  • Works independently with some oversight
  • Basic technical knowledge of HTML and web publishing
  • Basic understanding of policies, procedures, management systems, records management systems, and electronic record-keeping
  • Basic technical experience using Microsoft Office Suite, SharePoint, Visio, Adobe Acrobat Professional (create and edit PDFs), and image file editor programs such as Photoshop
  • Experience logging and tracking work (e.g., using service or "ticketing" software such as Jira, Confluence, ServiceNow)
  • Hands-on experience creating and managing content and technical editing in a content management system (e.g., SharePoint, Drupal, WordPress, custom-developed tools)
  • Experience in records management policies, procedures, and electronic record-keeping
  • Excellent communication skills (written and spoken)
